If you get a lot of mail on a daily basis, it may be prudent to set up an autoresponder to automatically respond to email messages that you get from people. You can send them a thank you message and you can promise to get back to them as soon as possible. That response can be what it takes between making positive impression and losing out on a potential lead.
Creating Autoresponders in cPanel
CPanel is the most popular web hosting control panel out there. Chances are high that it’s what you use on your own website. Part of the popularity of cPanel is its intuitiveness. Webmasters have everything that they need right on the fingertips, including the ability to create autoresponders. So, how do you go about doing it?
Log into cPanel
The first thing that you will need to do is to log into your web hosting cPanel. But how do you do that? When you signed up for your web hosting, you got the login credentials for cPanel. Look in your mail. If you have deleted that information, get in touch with your web host for help.
You can also log into cPanel from your web hosting dashboard. That’s the case for the vast majority of web hosts that are out there. They usually have a link that allows you to quickly log into your cPanel. Again, if you need help, feel free to get in touch with your web host and they should point you in the right direction.
Create your Autoresponder
Once logged into cPanel, you can now start creating your first autoresponder. As you can see in the above screenshot, Autoresponders can be found under Email. Click on the appropriate button and you will be taken to a page where you can add your autoresponder.
On the next page, click on Add Autoresponder. This opens the page where you can configure your autoresponder. What message do you wish to be automatically sent out in response to people’s emails? There are a couple of customization options here.
The most important thing here is to specify the email address from which you wish to have automatic responses made. For this example, we will be setting up an autoresponder for our admin email.
Next, you need to choose a domain for which you wish to create your autoresponder. For this example, we are going to choose one of our websites, SA Broadband. Most people will have only one site in there. However, we have a couple of addon domains. But that’s another story altogether.
Anyway, from there, you will need to define the From and Subject sections. For our example, we will say our message is from SA Broadband. For our Subject, we will put in “Message Received.” Essentially we wish to notify the person sending the email that we have seen their message and we will respond in due course.
The Message
Like everything else, the message section will be different depending on the nature of your business. You can thank whoever has sent you the email. In almost all instances, you should tell them that you will get back to them soon. In some instances, you can give them alternative ways of getting in touch.
Finishing and Testing
When done setting up your autoresponse message, you need to click on the Create button. You will now get a message stating that an autoresponder has been set up for your chosen email. The only thing that remains now is to test to see whether or not an autoresponse is being sent.
We will send a message from our primary email to our test email address. For this example, testing showed that our autoresponder was working. After sending out the email, we received the response in the above screenshot. Now that you created your autoresponder, it will be listed in your list of current Autoresponders. This is the place to which you need to go should you ever wish to edit or delete an autoresponder.
Why create autoresponders?
That’s how to create autoresponders in cPanel. But why would you even bother? And who would best be served by creating autoresponders? This is something on which we have already briefly dwelt in the introduction to this article.
Autoresponders can be a useful tool for businesses large and small. We have already noted that if you are sufficiently large, it may be difficult to respond to every query that you get as quickly as you need to in order to convert a lead.
With autoresponders, you can give people information that they may be looking for. You can give them information relating to offers that your business may be running, as an example. You can thank them for reaching out, which is a great way of cementing your brand in their minds.
